Privacy Policy
A plain-language account of how VENATRIQ handles precise location, private hunting data, AI context, Group Hunt sharing, payments, and your choices.
Section 01
Who we are and what this policy covers
This Privacy Policy explains how Venatriq ("VENATRIQ," "we," "us," or "our") handles personal information when you use VENATRIQ applications and websites, customer support, and related services (collectively, the "Services"). Features depend on the version and platform you use.
Venatriq is based in DeLand, Florida, United States. This policy applies to our handling of your information regardless of your state or country, with additional rights and requirements where applicable law provides them.
This policy does not govern third-party websites, stores, mapping providers, payment providers, or authentication providers that publish their own privacy notices. Links to those services do not mean VENATRIQ controls their practices.
Section 02
Information we collect
Account and profile information. Name, username, display name, profile image, biography, email address, authentication provider, account status, home state or hunting regions, preferred species, hunting methods, equipment, effective ranges, units, experience, accessibility preferences, and other settings you choose to provide.
Precise location and map activity. With device permission, we may process precise latitude and longitude, heading, speed, altitude, GPS tracks, map viewport, searched places, routes, waypoints, and location timestamps. Coordinates precise to three or more decimal places can identify a location within a small area and are treated as sensitive.
Field and property content. Pins, stands, blinds, cameras, parking and access points, tracks, routes, boundaries, shapes, measurements, sightings, harvests, photos, notes, trail-camera information, hunt outcomes, property memories, recommendation feedback, and other content you choose to save.
Trail-camera imports. The private camera library stores the photos you import, your selected brand, camera coordinates, reported capture times and locations, and camera-specific AI choices. Brand selection does not connect a provider account; automatic cellular-provider syncing is not currently enabled. We do not request your camera-provider password. Uploaded photos are screened under our content-safety rules.
Group Hunt content. Hunt-room membership, invitations, messages, shared pins, photos, field updates, reactions, and optional live-location data shared within a hunt.
Social activity and notifications. Friend connections and requests, message requests and direct conversations, blocked-user relationships, notification contents, and read or dismissal status. Messages are processed by our servers; they are not represented as end-to-end encrypted.
Early access. If you join the testing or launch list, we collect the submitted name, email, region, game interests, requested access type, email-consent record, and anti-abuse signals. List signup does not create an app account or guarantee an invitation.
Hunt Intel and AI data. Requests, selected species and method, planning preferences, relevant map and weather context, saved evidence selected for analysis, AI output, confidence information, and feedback you provide.
Transaction and entitlement information. Plan, price, billing interval, transaction identifiers, renewal status, and subscription entitlement. If store billing is available and you use it, Apple or Google and VENATRIQ exchange purchase-verification information, such as signed transactions or purchase tokens, product identifiers, an account-linked purchase reference, and renewal, cancellation, or refund events, to verify and maintain access. Full payment-card details are handled by the payment provider and are not stored by VENATRIQ.
Device, log, and support information. Browser or app type, operating system, IP address, general region inferred from IP, security events, timestamps, referring page, requested resource, error diagnostics, support messages, and information you include in a request.
Section 03
Where information comes from
We collect information directly from you, automatically from your device when you use the Services, from other people when they invite you to or share content in a Group Hunt, and from service providers that support authentication, payments, mapping, weather, email, hosting, and security.
Environmental, parcel, terrain, road, trail, weather, and other map data can come from public agencies and commercial data providers. That contextual data is not necessarily personal information until it is connected to your account, location, or field content.

How we use information
- Create and secure accounts, verify email addresses, and provide sign-in and account-recovery features.
- Display maps, center the map on your location, record GPS tracks, calculate routes and measurements, and synchronize saved field content.
- Provide weather, wind, terrain, Property Brain, Hunt Intel, Group Hunt, and other requested features.
- Process subscriptions, enforce plan limits, prevent misuse, and maintain billing records.
- Send service messages, security notices, support responses, and marketing messages when permitted by your preferences and applicable law.
- Diagnose failures, protect users and the Services, measure reliability, and improve product performance.
- Comply with law, enforce our terms, and establish, exercise, or defend legal claims.
Section 05
Precise location and hunting-map privacy
VENATRIQ uses precise location only when needed for a feature you request or enable, such as current-map positioning, weather for a location, GPS tracking, route planning, or live Group Hunt sharing. You can revoke device location permission through your browser or operating-system settings, although location-dependent features will then be limited.
Your private pins, tracks, property boundaries, photos, notes, and property memories are not made public by default. Sharing a pin, hunt update, photo, or live location to a Group Hunt makes that item available to members of that hunt according to the feature settings shown in the product.
When you enable a camera's Hunt Intel permission and account AI memory, recent, dated photos near the planning area may be sent to OpenAI with their reported coordinates and capture times to help generate your requested plan, subject to the platform-specific permission controls described below. Camera images are not automatically shared with a Group Hunt and are not used by this feature to train a model. Turning permission off stops inclusion in new plans; it does not rewrite earlier saved plans. Clearing account AI memory also disables camera-photo inclusion while preserving original photos. Removing a camera preserves its photos in your private field album; individual photo deletion removes the selected photo.
Do not use VENATRIQ to monitor another person without their knowledge and consent. Before sharing property information, confirm that you have authority to disclose it.
Panning away from your position changes camera follow, not necessarily the location permission or sharing setting. Use the tracking and Group Hunt controls to stop those activities. Browser location and heading updates may pause when the app is backgrounded, the screen is locked, connectivity is lost, or permissions change.
These browser limitations also apply to hosted web content displayed inside an application. Supported native builds provide a separate background GPS recorder after you explicitly start recording and grant the required device permissions. Operating-system restrictions, force quitting, signal loss, and battery settings can still interrupt it. Pause or finish recording with the app controls. Device permission does not itself enable Group Hunt sharing or authorize sending personal data to an AI provider.
Native recording uses a device-protected, account-bound local journal so an interrupted, unsaved track can be recovered. Signing out pauses and hides that journal rather than discarding your unsaved track. Only the same account can reopen it to review, save, or discard it; it is removed after confirmed saving or explicit discard. Saving a private track is separate from sharing your location with a group.
Opening a protected native recording requires a verified sign-in. The device holds a short-lived access check in memory for up to eight hours, never beyond that login session's expiry. Starting the app again, changing accounts, or expiry may require reconnecting before you can review an unsaved recording. Losing connectivity does not itself erase the journal or stop an already-running native recorder. Remote account changes may take effect on this offline access when the check expires or is refreshed.
An accepted account-deletion request also asks the current native installation to remove that account's unsaved recording. If device cleanup cannot be confirmed, remove the app's local data or uninstall it. A deletion made on another device cannot remotely erase an offline installation; remove its local app data separately.
Ending a hunt removes shared pins and teammate markers from the normal live map once the update reaches each device. Shared items may remain available in hunt history. A participant who explicitly saved a personal copy retains that copy; ending a hunt is not a deletion request.
Section 06
AI and Property Brain processing
When you request an AI feature, VENATRIQ assembles a minimized, structured context relevant to that request. Depending on the feature, it may include species, weapon, date and time, selected map extent, terrain indicators, weather, saved pins or observations, property memory, and your instructions. We do not intentionally include passwords or full payment-card data in AI requests.
We use OpenAI's API to process this context, selected map imagery, and submitted images for requested AI results. This can include personal information in your instructions, precise planning coordinates, relevant profile preferences, private field notes, and permitted camera photos and capture times. VENATRIQ validates and stores outputs where needed for map recommendations, hunt history, or account continuity. AI output is probabilistic and can be incorrect.
Website processing. On the ordinary website, a separate OpenAI consent prompt is not enabled by default. Submitting an AI request, account or profile information, a message, or a photo can send the relevant information to OpenAI for the purposes described here, even without a separate prompt. Optional AI memory, camera-photo inclusion, shared learning, and profanity settings are separate choices; turning them off does not by itself stop all AI processing or safety screening.
Separate permission controls. Native applications use a separate AI processing consent flow. Where this flow is enabled, including website experiences that enable it, we ask for explicit permission before covered personal-data requests are sent to OpenAI. The prompt identifies the purposes and data involved; declining keeps the affected request from proceeding. This Privacy Policy, general Terms acceptance, a device-location grant, and dismissal of a storage notice do not themselves supply that separate permission.
Where AI processing settings are available, you can withdraw this permission for new covered requests in the current browser or application sign-in session. This is not an account-wide switch for other sessions or the ordinary website without that flow. Withdrawal does not recall previously submitted data, undo completed processing, or necessarily interrupt a request already in progress. Contact support for help with other sessions, previously submitted data, or a broader privacy request.
OpenAI's published API policy says API data is not used to train its models by default unless the API customer opts in. Retention depends on the endpoint, settings, and safety or legal requirements; abuse-monitoring logs may be retained for up to 30 days by default, with exceptions, and some application state can be retained separately. We do not promise zero provider retention. See OpenAI API data controls. VENATRIQ's optional shared-learning setting is not an opt-in to OpenAI model training.
Private field content is not added to shared learning by default. The optional learning preference controls eligible structured recommendation feedback, such as species, method, outcome, and evidence categories. These learning records exclude exact coordinates and free-form field notes, but retain internal contributor and feedback identifiers for consent management and deletion; they are not irreversibly anonymous.
Disabling the learning preference removes your eligible contribution records from the current learning store. Personal property memory is a separate control. Shared scoring excludes feedback unless an authorized review records independent supporting evidence and a valid, time-limited approval. A user report alone is not verified wildlife knowledge. The current intelligence system retrieves approved knowledge and saved evidence; it does not autonomously retrain an AI provider's model from every conversation. Any materially different training program will need a separate disclosure and appropriate choices.
To investigate failures and abuse, bounded administrative diagnostics associate AI request IDs with the requesting account, operation, timing, and outcome for up to 30 days in the active diagnostic store. Full prompt and response logging is off by default. If separately enabled for an investigation, the authorized administrator can temporarily capture limited, redacted text excerpts for up to 24 hours. Redaction reduces sensitive details but is not a guarantee that every personal detail is removed. These diagnostics are restricted to the designated administrator, are not shared training data, and are removed on the next retention sweep or account deletion; backups follow their separate retention cycle.
Section 07
Content safety screening
New names, public profile text, messages, Group Hunt content, AI conversations, and uploaded photos may be sent to OpenAI's moderation or image-safety API to check our community rules before they are saved or published. This is third-party AI processing even when you are not using Hunt Intel. The platform-specific permission controls above also cover these screening requests; ordinary website screening does not require a separate prompt by default. Photo processing removes embedded metadata before screening, but visible people, places, or text in the image can still identify someone. Do not include personal information that is not needed.
Safety screening is separate from optional community learning and the profanity preference. Turning off the profanity filter does not disable screening for sexual content, child exploitation, hate, threats, or nude photos. Our screening code keeps a short-lived fingerprint of approved content to reduce repeat checks; it does not intentionally log rejected text or image bytes. Provider processing is subject to the provider's retention and safety policies. Where the separate consent flow applies, declining permission blocks a submission that needs screening rather than bypassing safety checks.
Automated checks can miss content or reject acceptable content. Contact support@venatriq.com to report a concern or request review. Do not forward prohibited images in a report; identify the user, group, and approximate time instead.
Section 09
Email and notification choices
Service and security emails, such as verification codes, password resets, billing notices, material policy updates, and account alerts, are necessary to operate your account and generally cannot be disabled while the account remains active.
You can opt out of marketing and product-update emails through the unsubscribe link in the message or through email preferences. We may retain a suppression record so we can honor the opt-out. Transactional messages will not be used to bypass a marketing opt-out.
The notification center provides in-app alerts, read controls, and category preferences. It is not a guarantee of push delivery when your browser is closed. Group help alerts can remain available to active participants despite routine group-activity preferences, but do not contact emergency services. Early-access list preferences may be separate from app-account preferences; use the message's unsubscribe option or contact support for list-specific help.
Where native push is configured, Enable notifications requests your operating-system permission and registers that installation with Apple Push Notification service (APNs) or Firebase Cloud Messaging (FCM). We retain an encrypted delivery token, installation identifier, platform, environment, and operational timestamps. Push payloads use a generic notice and an opaque notification identifier rather than private coordinates or message text; opening an alert requires current account and sharing authorization. Disable push in app preferences or device settings. Logout and account-security changes revoke account delivery bindings. Delivery is best effort, not an emergency service.
Optional friend invitations use an opaque referral code, account-linked claim and redemption status, and billing references needed to prevent repeated discounts. They do not automatically create friendships or send messages. Inviters see aggregate referral status, not another hunter's payment information. Deletion removes account-linked referral data; a pseudonymous, non-reusable redemption record may remain to prevent reward abuse. Marketing email consent is a separate, optional choice and is never supplied by opening an invitation.
Live direction settings let you choose phone-compass readings or movement direction derived from GPS. This browser-local preference does not grant location or orientation access and does not enable Group Hunt location sharing. Your browser controls its separate sensor permissions and may request approval again.
App-status sharing is on by default for new accounts and accounts without a saved choice. An existing off choice stays off. You can change Show online status in App Preferences or Privacy & Security. While enabled, recent interaction in an open, foreground, connected app periodically updates a last-active timestamp so accepted friends and members of your hunts can see recent availability, separately from GPS sharing. Inactivity, closing the app or losing connection lets the status change to Offline or away after a short delay. We do not keep an activity timeline for this feature. Turning it off hides that status; the most recent timestamp is removed when the account is deleted. A recent heartbeat is not proof that someone is watching the screen or able to respond.
Section 10
Retention, export, and deletion
We retain information for as long as reasonably needed to provide the Services, maintain account continuity, meet legal and accounting obligations, resolve disputes, prevent fraud, and protect the Services. Retention varies by data type, sensitivity, user choices, and legal requirements.
You can delete supported individual items, clear eligible AI and property memory, leave Group Hunts, or request account deletion. An AI-memory reset clears eligible Hunt Intel history, recommendations, and your property-memory contributions. It preserves your account, subscription, usage counters, saved pins, photos, tracks, boundaries, and social or Group Hunt messages. It does not retrain or erase a provider's base model.
Self-service account deletion removes your account, sign-in sessions, synchronized field library, profile and field photos, property-memory contributions, social connections, direct conversations, and groups and properties you own. It also removes your contributions to other groups and eligible contributor-linked learning records. Independent copies saved by other people and billing-provider records are not automatically erased. Limited records may remain for legal, accounting, fraud-prevention, security, or backup purposes. Contact support for a broader deletion request and applicable exceptions.
Available account export covers the data identified by that export feature, not necessarily every shared or separately stored record. Contact support for a broader access request. See the account deletion page. A connected Stripe subscription is canceled before deletion completes. If cleanup or billing is unavailable, access is disabled and processing retries automatically; pending is not confirmation of completion or a refund.
Deleting your account or uninstalling an application does not by itself cancel an Apple or Google subscription. If you purchased through a store, manage cancellation separately with that store. Store transaction and legally required billing records may remain under the provider's retention rules.
Section 11
Security
We use administrative, technical, and organizational safeguards designed for the sensitivity of the information we handle. These include encrypted transport, password hashing, server-side authorization, secure session controls, input validation, access restrictions, and monitoring or audit records where appropriate.
No service can guarantee absolute security. Use a unique password, protect devices used in the field, sign out of shared devices, and contact support@venatriq.com promptly if you suspect unauthorized access.
Section 12
Your privacy rights and controls
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information; withdraw consent; restrict or object to certain processing; and appeal a decision. You may also have a right not to receive discriminatory treatment for exercising a privacy right.
Use the account controls or email support@venatriq.com with a privacy-request subject. We may need to verify your identity and authority before completing a request. Authorized agents may submit requests where permitted by law, but we may require proof of authorization and identity verification.
To appeal a privacy-request decision, reply to our response or email support with the subject Privacy appeal. We handle requests within applicable legal time limits and explain any permitted extension or refusal. You may also complain to your state attorney general or the data-protection authority that has jurisdiction; contacting us first does not limit that right.
You can also control device location, camera, photo-library, and notification permissions through your browser or operating system; manage sharing within each Group Hunt; clear eligible AI memory; and change communication preferences.
Section 13
Children
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. Higher local age or parental-authorization requirements may apply. If you believe a child has provided personal information without required authorization, contact us so we can investigate and take appropriate action.
Hunting, firearm, navigation, and location-sharing features require responsible adult judgment and any supervision required by law.
Section 14
International use
If you access the Services outside the United States, information may be processed in the United States or other countries where VENATRIQ and its service providers operate. Those countries may have different data-protection laws. Contact support about applicable processing locations, transfer arrangements, or local rights. Using the site does not waive mandatory local protections or itself constitute consent to an international data transfer.
Section 15
Changes to this policy
We may update this policy as the Services, providers, or law change. The effective date identifies the latest version. We will provide additional notice of material changes when required, such as through the Services or by email, and obtain consent when required for a new use. Dismissing a cookie notice or continuing to browse does not itself authorize optional marketing, location sharing, or learning contributions.
